This role is responsible for assigned scope in support of the overall project team located in Glendale. The position supports the project team that is inclusive of cross-functional teams and partners across Walt Disney Imagineering to collaborate and deliver critical needs. Success in this role requires a proven collaborator who is forward-thinking, solution-oriented, and able to balance competing demands.
The position reports directly to Project Leadership that oversees projects at Imagineering.
This is a Project Hire position with no guarantee of permanent placement.
What You Will Do:
Office space
- Allocation of offices/cubicles
- Maintain master seating chart
- Partner with Facilities Department to schedule movers / new furniture requests / office set-up (Hanging artwork, whiteboards, etc.)
- Track and request building badge access
- Email distribution list
- As a Microsoft Teams “Expert” provide training, tutoring, and aid to users. Add to Teams group and sub-groups.
- Onboarding new hire: Order monitor, peripherals, desk phone, desk set-up, welcome sign
- Offboarding team members: Remove badge access, email distro, Teams
- Create new team member welcome packet
- SIP Training: maintain list and confirm completion
- Create informational signage / labels
Team Events / Project Support
- Take lead on culture & community for project
- Take lead on project events: Maintain calendar invite, planning and coordinating tasks, work with vendors / caterers
- Book rooms and other needs for large team presentations
- Support mock-ups and playtests
- Maintain and update project team calendar: Vacations, business travel, events
- Support group team travel needs (China Visas, group room bookings/travel)
- Assist/support training new EAs, Coordinators, and interns
- Create systems & methods to increase productivity
- Coupa purchasing (Purchase Orders) as needed for project team
- Other tasks as needed
Crisis Management
- Crisis management coordinator
- Recruit Crisis Management teams: Floor and group leaders
- Create group names and set up each with required materials (group sign, clipboard, whistle)
- Liaison with WDI Crisis Management leaders for up-to-date information
- Order & Maintain safety bags / equipment
- Set up any required / optional safety classes
- Create resources for floor/group leaders to maintain updated accountability lists
Building maintenance
- Point person for all building requests
- Partner with Facilities Department on future building design, modifications, repairs and moves
- Kitchen: Supplies and snacks (track, order, maintain allocated monthly budget), call in work orders for repairs
- Restrooms: Call in work orders for repairs, follow-up
- Building repair requests: AC, pest control, repairs, etc.
- Printers: Call in IT repairs, maintain supplies (paper, toner/inks), assistance with any on-site issues
- Mail Room: Upkeep/Tidy. Receive/distribute mail & packages
- Plotter: Work with vendor, maintain contract, invoice/payment, call in maintenance, set up training sessions
- Conference Rooms: Upkeep/Tidy. Call in work orders for repairs (audio, lighting, AC, VTC)
- Office supplies: Order and maintain/organize supply room/area, handle special requests (materials for brainstorming, create creative kits)
- This role will oversee Buildings 1014, 1025 and 1048 through end of project (additional building to be added)
Required Qualifications & Skills:
- Minimum 6 years’ working experience, preferably in administration or office management, as well as customer-facing function in a multi-national company, facility management, finance, economics, or project management company
- Fluent in both spoken and written English
- Excellent interpersonal communication skills
- Ability to work in a diversely cultural and fast-changing environment
- Detail-oriented and highly organized
- Ability to prioritize work under tight timelines
Preferred Qualifications & Skills:
- Fluency in Mandarin a plus
Education
High School Diploma or equivalent experience required
Some College Education preferred

The hiring range for this position in Glendale, CA is $63,700 to $103,400 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
