This position supports a Vice President and two Directors on the Opportunity & Inclusion team. You would be a part of fast-paced Opportunity & Inclusion team that serves as a center of excellence for the enterprise, leading the development of inclusion strategies, partnering with leadership across lines of business and global markets, providing subject matter expertise on relevant inclusion practices, and enhancing our inclusion brand both inside and outside the company. The Inclusive Culture & Experiences team partners with all Disney businesses to create a culture of belonging for everyone. The Vice President and two Directors lead this charge and the team to partner across the business and HR on developing inclusive and equitable processes, practices, and experiences.
What You Will Do
You would be responsible for the day-to-day workings of these leaders. It goes without saying that there will be expense reports, travel planning, hundreds of messages, and endless calendar jockeying, but this job is very much about people and supporting the culture. In addition to understanding your leaders’ business needs inside and out, you’ll need deep knowledge of the workings across the Disney enterprise. As the “face” of your executive within the company your professionalism, judgement calls, discretion and attitude are a reflection of the team, and as such, are a key component to its success.
Every day in this role is different! On any given day you might:
Protect the Executive’s time through strategic and proactive calendar management and vetting a variety of meeting requests
Schedule conference rooms, meetings, and video chats
Book and build travel itineraries and manage Travel & Entertainment (T&E) expense report submissions for three executives
Proactively resolve problems and pitch in to help
Coordinate onboarding/offboarding of team members
Process and track payments to vendors using SAP
Plan recognition and team events
Order supplies and equipment along with other office management duties
Manage project tracking and follow-up
Prepare reports to be shared with leaders and stakeholders
Compose correspondence on behalf of leader
Schedule and host Zoom meetings which could include presentation sharing
Manage highly confidential correspondence and information with utmost discretion
Work closely with the Executive on activities, projects, meetings, event planning and office logistics
Provide planning support for large, high-profile events like summits, off-sites and team-building activities
Ensure the executive is prepared for meetings and events
Coordinate office space and physical team storage
Required Qualifications & Skills
A minimum 3 years of experience supporting business executives in large organizations in an administrative role
Strong proficiency with standard office tools such as Microsoft Outlook, Word, PowerPoint, Excel
Generally tech savvy and willing to learn new skills
Professional and highly discreet while maintaining absolute confidentiality
Effective communication skills, including diplomatic and professional handling of telephone and email communications
Ability to be pro-active, resourceful, flexible, and responsible
Ability to take initiative and anticipate needs
Extremely well organized and attentive to detail
Preferred Qualifications
Prior experience supporting at the VP level
Experience working in a large publicly traded company
Ability to build a trusted network with counterparts across the company
Previous experience at The Walt Disney Company
Preferred Education
Some College coursework completed
The hiring range for this position in New York, NY is $68,400 to $91,700 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
