About the Role & Team

We’re looking for a proactive and highly organized Executive Assistant to support the Country Manager Nordics & Baltics. In this role, you’ll be the backbone of our day-to-day operations, working closely with senior leaders and collaborating with the Nordics & Baltics Executive Leadership Team. You will also play a key part, collaborating with the PR & Corporate Communications Director, on internal communications and CSR initiatives and securing the coordination of these projects. 

This role can be based in any of our Nordic offices – Copenhagen, Helsinki, Oslo or Stockholm, with 4 days working onsite and 1 day working from home.

What You Will Do

  • Provide holistic, integrated administrative and operational support, proactively solving problems with minimal supervision
  • Manage a dynamic calendar of appointments, ensuring meetings are well-prepared with all materials and information in advance
  • Coordinate travel logistics from start to finish, supporting changes as needed
  • Prepare and attend weekly executive leadership meetings and annual cycle activities - owning agendas, consolidating input, preparing content, and tracking action items
  • Coordinate bi-weekly Town Halls and plan business rhythm activities, including annual events
  • Plan and coordinate team workshops and events to enhance employee engagement
  • Manage internal administrative procedures, such as expenses, purchase orders, and invoice approvals using corporate systems (SAP, Coupa)
  • Prepare materials for meetings, leveraging your network across the organization
  • Collaborate on internal communication and CSR projects, including children’s hospital visits and the Christmas Campaign, maintaining relationships with external partners
  • Initiate and execute internal communications, celebrating milestones and recognizing performance
  • Proactively manage internal and external relationships, tracking key dates and stakeholder needs
  • Maintain and protect confidential business-critical information.

Required Qualifications & Skills

  • Solid experience as a personal/executive assistant supporting executive-level leaders in large multinational organizations.
  • Experience in a listed company or one with high compliance standards.
  • Fluency in English and at least one of the Nordic languages, both verbal and written; excellent writing, editing, and organizational skills.
  • IT savvy and highly proficient with new tools and systems, especially using Microsoft Office, SAP, SharePoint, and Concur
  • Strong interpersonal, collaboration, and communication skills.
  • Highly organized, proactive, detail-oriented, and able to manage multiple priorities.
  • Complete reliability and professionalism in handling confidential information
  • Experience supporting CSR or internal communications projects.
  • Demonstrated ability to build strong networks and foster a positive workplace culture.
